Why Zapier still matters for CRMs

Zapier is the integration layer of last resort — and often the integration layer of first resort. When a CRM ships a native integration with Tool X, that's better. But the universe of tools a real business uses is bigger than any CRM's native marketplace, and Zapier covers the long tail without an engineering project. The vendors below have mature Zapier apps (deep trigger and action coverage, real authentication, decent rate limits) — not the placeholder Zapier listings most software ships and then ignores.

What to prioritize

  • Trigger and action depth. A useful CRM Zapier app has ten-plus triggers (new contact, stage change, deal won, custom-field update) and twenty-plus actions, not just "create record." Look at the Zapier app page and count.
  • Custom field support. If you can't read or write custom fields through Zapier, the integration is a toy. The vendors below all expose custom fields end-to-end.
  • Webhook fallbacks. When the native Zap doesn't quite cover your case, the CRM should support generic webhooks (in and out) so you can route through Zapier's Webhooks app.
  • Rate-limit headroom. High-volume Zaps will burn through limits — check the published API rate limits before designing a workflow that fires on every contact update.
  • Multi-step Zap fit. Real automations are 4–8 steps with branching. The CRM has to be a clean middle citizen in that chain, not the bottleneck.

When Zapier is the right call (vs. a native integration or a code project)

  • Long-tail tool integration. Anything outside the native marketplace — internal tools, niche SaaS, regional vendors — is a Zap.
  • Lead capture from forms and ads. Typeform, Tally, Webflow, Facebook Lead Ads — Zapier is faster than building a webhook handler.
  • Cross-CRM sync during a migration. Two-way sync between a legacy CRM and a new one runs cleanly through Zapier with one shared key field.
  • Rapid prototyping. Build the workflow in Zapier, validate it works, then graduate to a native integration or a code job once volume justifies the engineering cost.

When it isn't

  • High-volume real-time sync. If you're firing 100k events a day, Zapier costs more than a small worker process and is harder to debug.
  • Complex business logic. Multi-stage approvals, retries, error handling — you want a real workflow engine (n8n, Workato, Tray) or a native CRM workflow builder.
  • Anything with strict auditability requirements. Regulated industries usually need an integration whose logs they own.
