CRMs that integrate with Xero

Why a CRM-Xero integration matters

Xero is the cloud accounting backbone for over 4.6 million small and mid-size businesses, dominant in the UK, Australia, and New Zealand and growing fast in the US. The integration question for most CRMs is therefore not "does it sync with QuickBooks" but "does it sync with both QuickBooks and Xero, cleanly."

A useful CRM-Xero integration handles three things:

  • Contact and company sync — when a deal closes, the customer is already in Xero with the right contact details, no copy-paste.
  • Invoice generation — drafting a Xero invoice from a CRM deal (line items, contract value, currency) saves 5–15 minutes per deal and cuts data-entry errors.
  • Payment status surfacing — the CRM record shows whether the customer has paid, is overdue, or has an open balance. Sales and CS see what AP sees, without an AR call.

When the integration earns its keep

Highest-value scenarios:

  • B2B service businesses running on Xero for accounting. Won deal → Xero invoice draft → reviewed and sent → paid → CRM reflects status. Five steps that used to be done by hand.
  • Subscription / retainer businesses where invoices recur. Set the recurrence in Xero, surface the next invoice date in the CRM.
  • Multi-currency businesses — Xero handles foreign-currency invoicing natively; the CRM should pass through currency and amount cleanly.
  • Sub-30 person teams — large enterprises usually have NetSuite or Sage Intacct, not Xero, and an enterprise iPaaS layer between systems. Xero integration is most leveraged at SMB scale.

What "mature" looks like

Five specifics separate a usable Xero integration from a checkbox listing:

  1. Two-way contact sync — both directions, not just CRM → Xero. New contacts created in Xero (e.g., from a payment) should land in the CRM.
  2. Invoice draft (not auto-send) — the integration should draft the invoice in Xero for review, not auto-send. Auto-send is a billing accident waiting to happen.
  3. Line items from deal products — products configured on the CRM deal should map to inventory items in Xero, not collapse into a single line.
  4. Payment status surface — the CRM should show paid / unpaid / overdue / part-paid on the customer record without an admin running a query.
  5. Multi-organization support — if you run multiple Xero organizations (different countries, different entities), the integration should let you choose which one a deal invoices into.

Common patterns

CRMs reach Xero in three ways:

  • Native vendor-built integration (Capsule, Salesforce, HubSpot, Zoho, Insightly, Salesflare, Teamgate). Cleanest path for most users.
  • Marketplace-installed app via Xero's app store. Xero publishes 1,000+ integrations; many CRM apps live there with similar capability to vendor-built versions.
  • Middleware (Zapier, Make, custom). Necessary when you want a transformation the native integration doesn't support.

For most SMBs, the native CRM-vendor integration is the right starting point. Move to middleware only when a specific data shape forces you off it.

Common gotchas

  • Tax-rate mapping. Sales tax in the CRM and Xero need to map cleanly. A wrong tax rate on the first invoice draft is a tedious bug to debug across two systems.
  • Currency rounding. Multi-currency deals occasionally show 0.01 deltas between CRM and Xero. Decide which system is canonical for revenue reporting and stay there.
  • Deletion handling. Most integrations don't delete in Xero when a CRM record is deleted (correct behavior — deletes in accounting are dangerous). Knowing this means avoiding workflows that depend on it.
