CRMs with Project Management Integrations (2026)

CRMs that connect to Asana, ClickUp, Jira, Monday, Notion, and other project management tools — so the deal that closes in the CRM kicks off the delivery project automatically, without a manual handoff.

Why the CRM-to-project handoff is the most common ops failure

The moment a deal closes is when the most expensive data entry in a company happens: an ops manager manually copying account details, contract terms, and stakeholder contacts from the CRM into the project management tool before the delivery team can start work. For services businesses, agencies, and SaaS companies with implementation workflows, this handoff is where data quality degrades and projects start with incorrect information. A proper CRM-to-project integration eliminates that entirely: when a deal moves to Closed Won, a project is automatically created in Asana or ClickUp or Jira, pre-populated with the account name, contract value, stakeholder list, and any custom fields the delivery team needs.

What to prioritize

  • Automatic project creation on deal close. The trigger should be a CRM pipeline stage change, not a manual workflow step someone can forget.
  • Field mapping. Contract value, timeline, owner, and custom fields (e.g., product tier, region, SLA level) should map to the project template automatically — not dump into a description field.
  • Bidirectional status sync. As the project progresses, milestone completions and project health should be visible in the CRM account record so account managers know the delivery status without asking the delivery team.
  • Template selection. Different deal types should create different project templates. A basic implementation project and an enterprise onboarding project are different workflows.
  • Contact/task assignment. Stakeholders in the CRM deal should become project members; assigned tasks in the project should be visible as activities in the CRM.

Common integration patterns

Zapier/Make (low-code): Most CRMs support a Zapier trigger on pipeline stage change. This is the most common implementation pattern and works well for straightforward field-mapping scenarios. It breaks for complex workflows requiring conditional logic.

Native connectors: HubSpot has native Asana and ClickUp integrations; Salesforce connects to Jira, Asana, and Monday via AppExchange apps. Native connectors are more reliable and support more trigger types but require the right plan tier.

Middleware platforms (Workato, Tray.io): For enterprises with complex field mapping, multi-step workflows, or ERP involvement in the handoff, a dedicated integration platform handles the edge cases that Zapier can't.
